Application for the position of Medical receptionist
Dear Ms Gruber,
I have just completed a health and social care course with a placement at an internal medicine practice. I would now like to join a GP surgery because I value getting to know patients over many years.
On placement I worked on reception, booked appointments, handled repeat prescription requests and helped prepare patients for ECGs. I learned to juggle a full phone line, an impatient patient and a referral letter without anyone being forgotten. It never got boring.
I have known your practice as a patient since I was a child. I can start in August and would be glad to come in for a trial day.
Yours sincerely,
Sophie Walker

Application for the position of Medical receptionist (mornings)
Dear Sir or Madam,
After three years of parental leave with two children, I would like to return to my profession. Your advert for a morning role fits exactly: Monday to Friday, 7.30 to 12.00.
Before my leave I spent six years at a paediatric clinic. Preparing check-ups, hearing and sight tests and judging on the phone whether a child should be seen today were part of every day. I took a refresher course on practice emergencies last autumn.
I know systems have changed and I learn quickly. Childcare is in place from January.
Yours faithfully,
Julia Acker

What employers look for
Practices want people who greet patients warmly, keep appointments running, handle confidential information carefully and – for assistant roles – support with clinical tasks such as blood tests or ECGs where permitted.
Experience on a busy front desk or in healthcare
Appointment systems and practice software
Confidentiality and data protection
Calm handling of phone, queue and requests at the same time
Clinical skills where the role includes them
Tips for your application
Do
- Mention systems and tasks you handle.
- Show calm under pressure with an example.
- State hours and start date.
Don’t
- Share identifiable patient stories.
- Overstate clinical skills.
- Send a generic letter.
Typical interview questions
Prepare a short, honest example from your own work for each one.
- How would you deal with an angry patient at the desk?
- Which systems do you know?
- How do you prioritise phone and desk?
- What does confidentiality mean to you?
Salary expectations
If the advert asks for your salary expectations, give an annual gross figure or a range you have researched – through pay scales, salary surveys from public sources or people who do the job. If it does not ask, leave pay out of the letter; it will come up in the interview.
Frequently asked questions
Is a cover letter expected for receptionist roles?
Usually yes. A short letter that shows you know the practice and can handle a busy desk helps a lot.
Should I put a photo on my CV?
It depends on the country. In the UK, Ireland and the US a photo is usually left out to avoid bias, and many employers prefer CVs without one. In Germany and some other countries it is common but optional. If you use one: recent, friendly, plain background, dressed as you would be on a good day at work.
Can I copy the example letters?
Yes, they are free to use. But recruiters read a lot of letters – one with your own examples, numbers and a real reason for choosing this employer will always do better. Use the examples as scaffolding and write the sentences yourself.
Is my data stored anywhere?
No. The CV and the letter are created in your browser. Nothing is stored unless you switch on “Save the draft” in the editor – and then only on your device.
