Application for the position of Office manager

Dear Ms Shah,

when I joined my current employer there were 18 of us on one floor. There are now 65 across two sites, and I ran both moves, set up the kitchen, negotiated the cleaning contract and built a welcome pack that every new starter finds on their desk on day one.

I have eleven years in office administration and executive support. Coding invoices, booking travel, planning a Christmas party for 80 and keeping the directors free to do their jobs are part of my normal week. I would like to join a company that, like yours, is growing and needs someone to build structure.

Yours sincerely,

Julia Fisher

Application for the position of Office manager (part time)

Dear Mr Weber,

four years on reception in a co-working building have given me far more than my job description: room bookings, maintenance contracts, supplies, and the ticket system for tenants. I would now like to run an office myself.

A firm of ten solicitors is the right size for me. I am discreet and calm when three things go wrong at once. I have not managed a deadline diary yet, and I am keen to learn.

Yours sincerely,

Tom Fletcher

Good to know

Your application in three steps
  1. Add your own photo – or none

The example uses an illustrated placeholder. Replace it under “Choose photo” in the editor, or remove it: in the UK, US and many other countries a CV photo is not expected.

  2. Replace the details

Name, contact, jobs, skills: everything is filled in and can be overwritten field by field.

  3. Save as PDF

The PDF is created in your browser. Nothing is uploaded, no account needed.

What employers look for

Office managers keep everything running: suppliers, travel, events, onboarding, often finance admin and HR support. Show what you organised and how many people relied on it.

  • Office or administrative experience

  • Organisation and overview

  • Confident with office software

  • Friendly but firm with suppliers

  • Discretion

Tips for your application

Do

  • Give concrete examples of what you organised.
  • Say how big the office or team was.
  • Show where you built structure.

Don’t

  • Call yourself “highly organised” without proof.
  • Only mention phones and post.
  • Treat the role as a secretary job.
Typical interview questions

Prepare a short, honest example from your own work for each one.

  1. What structures have you built in an office?
  2. How do you prioritise when three people need something now?
  3. How do you deal with suppliers who do not deliver?
  4. How do you keep budgets under control?

Salary expectations

If the advert asks for your salary expectations, give an annual gross figure or a range you have researched – through pay scales, salary surveys from public sources or people who do the job. If it does not ask, leave pay out of the letter; it will come up in the interview.

Frequently asked questions
Office manager or executive assistant?

Office managers look after the whole office; executive assistants support one or a few leaders. In small companies it is often the same person – read the duties in the advert carefully.

Should I put a photo on my CV?

It depends on the country. In the UK, Ireland and the US a photo is usually left out to avoid bias, and many employers prefer CVs without one. In Germany and some other countries it is common but optional. If you use one: recent, friendly, plain background, dressed as you would be on a good day at work.

Can I copy the example letters?

Yes, they are free to use. But recruiters read a lot of letters – one with your own examples, numbers and a real reason for choosing this employer will always do better. Use the examples as scaffolding and write the sentences yourself.

Is my data stored anywhere?

No. The CV and the letter are created in your browser. Nothing is stored unless you switch on “Save the draft” in the editor – and then only on your device.
